Zoho Mail Setup Guide for Small Businesses: Security & Deliverability
A surprising number of business email problems — messages landing in spam, failed deliveries, security warnings — trace back to an incomplete Zoho Mail setup. Getting the configuration right the first time avoids most of these issues.
Domain Verification
Before anything else, verify your domain with Zoho Mail via TXT, CNAME, or HTML file verification. Skipping or rushing this step is the most common source of later delivery problems.
SPF, DKIM, and DMARC
- SPF tells receiving servers which mail servers are allowed to send on your domain's behalf.
- DKIM signs outgoing mail cryptographically so it cannot be tampered with in transit.
- DMARC tells receiving servers what to do with mail that fails SPF or DKIM checks.
All three should be configured together; DKIM alone without SPF and DMARC leaves gaps that spam filters notice.
MX Record Configuration
MX records must point correctly to Zoho's mail servers, and any old MX records from a previous provider need to be fully removed to avoid delivery conflicts.
Security Hardening
- Enforce two-factor authentication for every user
- Set org-wide password policies
- Configure allowed IP ranges for sensitive accounts if your team works from fixed locations
