The problem
Childcare attendance affects more than a head count. Check-in and pickup permissions, care notes, family access and time-based charges all refer to the same child but serve different users. Billing adds rates, sibling discounts, payments and external accounting records.
The difficult part is moving reliably from a real-world visit to an accurate invoice, including repeat billing runs or an accounting provider that is temporarily unavailable.
The solution
KiddoDesk connects attendance, authorised pickup and daily care reporting with family accounts and invoicing. Billing draws from recorded visits, applies the configured rules and tracks payments against the resulting balance.
Accounting integrations retain external references so repeated synchronisation can identify the same invoice or payment. A failed accounting push stays visible without blocking local billing. Organisation-specific workspaces separate providers using the platform.
The decisions behind it
- From attendance to money
- Visit times, child rates and family discounts must be resolved into billable records consistently, including when a billing run is repeated.
- Care access and billing access
- The person authorised to collect a child and the person responsible for an invoice have different roles in the workflow.
- Local continuity, external reconciliation
- An external accounting failure should create a visible synchronisation task rather than prevent the childcare team from issuing its invoice.
- Tablet check-in and authorised pickup
- Daily care board and reports
- Time tracking connected to invoices
