The problem
A childcare provider must run the room and the family account at the same time: check children in, control who may collect them, record care, keep families informed and turn attendance into the correct charges and payments. Separate tools make staff and parents reconcile the same visit repeatedly.
The full system must connect a child's day to the household and the accounts while handling family rates, sibling discounts, repeat billing runs and an external accounting service that may be unavailable.
The solution
KiddoDesk is a shared childcare workspace for kiosk check-in, authorised pickup, daily care, staff records, family access and time-based billing. A recorded visit becomes the source for the operational day and the financial account instead of being re-entered later.
Configurable rules turn attendance into invoices and payment balances. External accounting references make synchronisation repeatable, failures remain visible without blocking local work, and organisation-specific workspaces separate different providers using the platform.
The decisions behind it

- Visit times, child rates and family discounts must be resolved into billable records consistently, including when a billing run is repeated.

- The person authorised to collect a child and the person responsible for an invoice have different roles in the workflow.

- An external accounting failure should create a visible synchronisation task rather than prevent the childcare team from issuing its invoice.
